How to join a Zoom meeting

in the 24 hours prior to the event, you will receive a Private Message with the joining instructions:

Please don't share these details with anyone else. There have been reports (not involving any of our events) of gatecrashing Zoom events when the joining instructions have leaked beyond the intended participants.

The easiest way to join is to click on the hyperlink in the joining instructions. This will automatically ask you to download and install Zoom if you haven't already done so. However, I don't think that is necessarily the 'best' way to join.

I would advise that you download and install Zoom in advance. The download centre is here. For Windows and macOS you want to select "Zoom Client for Meetings" For Android, iOS and iPadOS, the links to the relevant app stores are further down the page under "Zoom Mobile Apps". Instructions for installing on Linux are here.

When launching Zoom, you will be presented with this screen:

Resist any suggestion of creating an account. Do not click on "Sign In"

Instead you just need to click on "Join a Meeting" which will bring you to this screen:

Copy the "Meeting ID" from the bottom of the Private Message you received prior to the event. Also enter your name as you wish it to be displayed. The preferred format is your StarDot username followed by your real first name. Then click on "Join".

You will then be presented with this screen:

Please note that your screen will show the image from your own webcam. My face is not part of the default settings for Zoom.

Click on "Join with Video".

On the next screen, click on "Join with Computer Audio" This will take you to the main Zoom window where, hopefully, there will be more people then just me.

In the bottom left of the screen (it may be differently located on mobile devices) is an option to "Mute" your microphone. You should keep your microphone muted at all times unless you need to speak. With a large number of attendees, open microphones can wreak havoc with the audio performance of Zoom. Moderators are able to remotely mute microphones but it is quite difficult to keep on top of this.

There is also an option to "Stop video" if, at any time, you don't want to be seen by other participants.

If you have more than one audio output or microphone connected to your device, you can manage these by clicking on the arrow next to the "Mute" button.

Finally, if you have any difficulties or questions during the meeting please feel free to ask either by posting in the main event thread or by sending a PM to one or more of the Zoom moderators.
